The Bookkeeper is responsible for the maintenance of Second Harvest fiscal records and assistance in the preparation of financial reports, including monthly bank reconciliations. This position involves administration over general accounting, property accounting, internal auditing, cost accounting, and budgetary controls.

• Maintains books of account (including but not limited to preparing checks, coding and posting invoices, preparing deposits, journal entries, reconciliations, petty cash)
• Administers issuing of checks/payment of invoices
• Prepares monthly/quarterly financial statements for project staff and Director of Finance and Administration
• Liaises with project staff and supports them in bookkeeping needs related to their program areas
• Administers accounts receivable
• Completes all payroll functions
• Maintains investment schedules and administers cash flow requirements
• Maintains year-end working papers and spreadsheets, and assists with preparation for any audits or independent reviews with support from the Accountant and Director of Finance and Administration
• Completes monthly reconciliation for all accounts (bank, investment and brokerage accounts)
• Exerts care and control over assets and records, and establishes procedures for safeguarding including security and computer backup (copy virus checked and stored off-site)
• Assists in maintaining policy and procedure documentation for complex financial and accounting issues
• Maintains current knowledge of regulatory changes and impacts on the organization’s books of account
• Maintains an accurate and complete trail of supporting documentation for all financial and bookkeeping activities
• Maintains up-to-date, complete, and systematic filing system to support bookkeeping and financial records
• Coordinates and assists in the preparation of the budget and financial forecasts
• Responsible for tax planning and compliance with Federal, Provincial, and local corporate, payroll, and other applicable taxes
• Furnishes internal reports, revises and updates reports to be more useful and efficient, and furnishes external reports as necessary
• Determines depreciation rates to apply to capitalized items and advises management on desirable operational adjustments due to tax revisions
• Evaluates and recommends insurance coverage for protection against property losses and potential liabilities
• The Bookkeeper has the responsibility for providing effective financial controls for the organization.


• Minimum Bachelor’s degree in business, finance, or related field required
• CPB Certification (Certified Professional Bookkeeper) required
• 3+ years of experience in financial management
• Experience in accounting an asset
• Excellent computer skills
• Excellent communication skills, both verbal and written
• General understanding of computerized accounting systems
• Excellent working knowledge of QuickBooks, Microsoft Word, and Excel
• Accuracy and attention to detail while working under tight deadlines
• Assertive, comfortable communicating with various types of individuals
